Privacy Policy

1. Who we are

This policy covers Valley View Photo LLC ("Valley View Photo," "we," "us"), a real estate photography and media business in Phoenix, Arizona (Arizona Corporation Commission #23831640). It applies to valleyviewphoto.com, our booking and client portal at media.valleyviewphoto.com, and how we handle information when you book or use our services.

2. Information we collect

Information you give us

• Contact details: name, email, phone number, brokerage or company
• Order details: property address, access instructions (lockbox codes, gate codes, on-site contact), services ordered, scheduling notes
• Billing details: invoices and payment status. Card payments are handled by our payment processor; we don't see or store full card numbers.
• Messages you send us by email, text, phone, website chat, or forms

Information collected automatically

• Device and browser type, IP address, approximate location (city level), pages visited, time on site, and the site that referred you
• Cookies and similar technologies, as described in our Cookie Policy

Information from the property

Our photos, video, drone imagery, 3D tours, and floor plans capture the property. They can incidentally include personal items or neighboring properties. See section 10.

3. How we use your information

• To schedule, perform, and deliver the services you order
• To access the property safely and on time
• To invoice you and process payments
• To answer questions and provide support
• To understand how our website is used and whether our ads work (only with your consent)
• To send occasional updates or offers by email. Every email has an unsubscribe link, and we'll only send marketing texts if you've agreed in writing.
• To keep our site and business secure, prevent fraud, and meet legal and tax obligations

4. Cookies and analytics

We use Google Tag Manager to load Google Analytics 4 and Google Ads, and Squarespace provides basic site analytics. When you first visit, a banner asks whether you accept analytics and advertising cookies; those cookies are only set after you accept. You can change your choice any time with the cookie preferences button at the bottom of every page. Full details, including each cookie's name and lifespan, are in our Cookie Policy.

5. Website chat

The chat on our website is an automated AI assistant, not a person. When you send a message, it is processed by Cloudflare (which runs the assistant) and our AI model provider to generate a reply, and a copy is sent to us by email through Formspree so Brandon can follow up. Please don't share lockbox codes, payment details, or other sensitive information in the chat. Our AI provider processes messages only to provide the service to us.

6. Who we share information with

We don't sell your personal information, and we don't share it with third parties for their own marketing. We share it only with service providers that help us run the business, and only what they need:

We may also disclose information if required by law, to protect our rights or safety, or as part of a sale or transfer of the business.

7. How long we keep it

• Booking, invoice, and payment records: 7 years, for tax and accounting purposes
• Chat, email, and form messages: up to 2 years, unless they're part of an order record
• Property access details (lockbox and gate codes): deleted or no longer used after the shoot
• Delivered media in the client portal: at least 90 days after delivery, as described in our Terms of Service
• Analytics data: kept in aggregated form; individual-level data is deleted on the schedule set in our Google Analytics retention settings

8. Security

We use reputable providers, secure connections (HTTPS), and access controls to protect your information. No method of transmission or storage is completely secure. If a breach affecting your personal information occurs, we'll notify you as required by Arizona law (A.R.S. § 18-552).

9. Your choices and rights

Wherever you live, you can ask us to:

• Tell you what personal information we hold about you and give you a copy
• Correct information that's wrong
• Delete your information, except what we must keep for legal, tax, or contract reasons
• Stop sending you marketing messages

Email Brandon@valleyviewphoto.com with your request. We'll respond within 30 days and may need to confirm your identity first. If you live in a state with its own privacy law, you may have additional rights, and we'll honor them as that law requires. We don't use your information for automated decisions that have legal or similar effects on you.

10. Property photos and occupants

We photograph properties, not people. If a home is occupied, we ask our clients to remove or hide personal items, documents, and family photos before the shoot, and we'll blur or remove anything identifying that you flag after delivery. Aerial images may incidentally show neighboring properties. If you appear in or own something shown in one of our images and want it removed from our website or portfolio, contact us and we'll review your request promptly.

11. Children

Our website and services are for adults working in real estate and property management. They're not directed to children under 13, and we don't knowingly collect personal information from them. If you believe a child has sent us information, contact us and we'll delete it.

12. Changes to this policy

We'll update this policy when our practices or the tools we use change, and post the new effective date at the top of this page. If a change is significant, we'll make it clear on our website.
